People and roles

Inviting someone into your account: the four roles, scope, what they can see, and how invitations and removal work.

Three different ways to give someone something, kept deliberately apart:

PathForWhat they get
Invite (this page)Someone who works with the collection day to dayTheir own login with a role and scope, the moment they accept
Designate (Estate)Heir, executor, trusteeNothing now — access opens on the conditions you set
Connect (Professionals)An outside firmNothing until you assign them specific work

optional is decided per person when you invite them. There is exactly one Owner; transferring ownership is a separate, confirmed action.

Scope and visibility

Beyond the role, two more dials:

  • Scope — everything, or only certain collections, locations or boards. Partial access is the normal case: an assistant gets two boards, a household manager gets three locations.
  • Visibility — four independent switches: values, acquisition (price and source), exact locations (off shows the city, not the room) and documents.

Inviting

Account → Access → Invite. Three steps: who (email, relationship, role), what (scope and visibility), review. The invitation is a link that expires in 14 days; nothing is shared until it is accepted. Under Waiting to accept you can resend it, copy the link, or revoke it.

If the person does not have a Storehouses login, the invitation creates one for them when they accept. If they do, the account is added to the ones they can switch to.

Trying to invite an executor or a trustee here is steered to Estate: estate roles are designated, not seated, so that no one holds a live login to a collection they are only meant to inherit.

Changing and removing

The row menu on People offers Change role, Change scope, Change what they can see, Suspend and Remove. Suspend keeps the record and the history and can be reversed; Remove ends access and is written to the audit trail. In an encrypted account, removing someone also destroys their sealed copy of the key.

Being a member

An account you were invited into appears in your account switcher with your role beside it. Everything you do there is attributed to you in that account's audit trail.
