Adding assets
Four ways in: by hand, from a photo with Capture, in bulk from the files you already have, or by scanning a label you printed.
By hand
Add asset (the ink button on Assets, ⌘N, or the ⌘K palette) → choose a category → fill in the record. Title and category are required; the rest can wait. Each category's fields are listed under Asset types.
While adding you can set:
- Collection and location — or leave them and sort later from the grid.
- Acquisition — purchase price, date and source. These feed Cost basis and Change on the asset page; a gift or inheritance with no price simply shows Not recorded rather than a made-up gain.
- Value — your estimate, or an appraisal with its date and appraiser. See Valuation for what counts as evidence.
- Photos — the first is the cover; add as many angles as you like.
Capture (phone)
The brass button in the centre of the tab bar opens the camera. Capture is an input to things the app already does, not a separate feature: every mode ends by creating or updating a record.
| Mode | What to do | What happens |
|---|---|---|
| Asset | Fill the frame with one object | A draft record: title, maker, year or era, type, nearest collection, your current location. Confident fields are ticked; the others ask you. Several objects in one frame become several drafts. |
| Walkthrough | Name the room, then shoot everything in it | Every photo becomes a draft placed in that location — the fastest way through a vault or a house. |
| Verify tag | Hold the phone near a Store Tag, or point at its QR | Records a verification for that asset. See Verification. |
| Document | Flatten a page in the frame | Edges are found, the page is cropped, and you choose the asset and document type. Saved to Documents and the asset. |
| Look up | Point at a Storehouses label or QR | Opens the asset. An unknown code offers Add as new. |
| Condition | Photograph the whole object, then any damage | A condition note — unchanged, changed or damaged — written to the asset's Activity and to Protect. |
Each object in the frame is read on its own, under the fields that category actually has, and then checked against reference data: a VIN is decoded, an ISBN is looked up, and a web search identifies the piece and finds comparable sales where it can. The draft shows a suggested value range with where it came from — the photo alone, a registry, or named web sources — and keeps the crop of the object and the full frame as its photos. A range is a suggestion, never an appraisal, so the value stays yours to confirm.
A draft is saved immediately and stays a draft until you confirm its value. Drafts show a dot in Assets and appear on Today so you can finish them later. On the asset's page a draft lists the fields still to confirm, each with a Confirm, a Confirm all, and Use suggested for the value; on the Assets grid the Drafts filter offers Confirm all for a whole walkthrough at once. Drafts land in the collection that already holds that kind of asset, and in the room you were in.
Scan with AI (desktop and web)
The Add page is the drop zone. Drop photos on it, or use Select photos or Use camera, and the scan starts at once. While it runs you see what has been found so far - objects located, categories set, marks read, the market checked, records drafted - and you can leave: the scan keeps going and lands under Scans still to finish on the Add page. Photos go for analysis only when you use this feature.
AI runs on credits: one credit is a cent of the underlying AI cost, so a single coin costs a few and a researched painting over a hundred. The account has a monthly pool shared by everyone in it, for scanning and for the assistant alike; the Add page shows what is left. A scan stops its market research, but still finishes its drafts, when the pool runs low.
When it finishes, the drafts are reviewed one at a time. Every field is in one of three states - drafted (read with confidence), confirm (filled, but the model was unsure) or add (empty, with a note on why it matters) - and the confidence panel says why in a sentence. The value is a suggested range with its sources, never an appraisal. Raise confidence offers the exact photo or detail that would help. Each draft is saved on its own, opened in the full form, or set aside with Not an asset; the scan stays listed until every object is decided.
Bulk add
Add → Bulk add is a spreadsheet for one category at a time: paste rows straight from Excel or Sheets (the header row is matched to fields by name), or type. Each row is checked as you go and a flagged row never blocks the rest - the message under it suggests the fix. Rows save individually; saved rows link to their assets. Photos, documents and valuations are added after saving. Bulk add is for desktop and web.
Add → Import service is for material that is not rows yet - appraisals, schedules, old spreadsheets. We import, you approve the quote.
For a large existing catalogue, the Wealth Partners team will do the import with you: Services.
From a label
Printed QR labels (Share & Export → QR labels) carry the registry ID. Scanning one with Capture's Look up opens the asset; scanning one on an asset that is not yet in your account offers to create it.
Every asset is assigned a registry ID of the form SH-<category>-<id> the moment it is created. It never changes — not on rename, transfer or export — and carries no personal information, so it is safe to print on a tag, send to an insurer or quote to an auction house.
